Our Student Affairs Division, Enrollment Services Unit is seeking to hire a full-time Director of Academic Advising. This position demonstrates strong, thoughtful leadership and management of the Academic Advising Department employees in a unionized workplace. The incumbent coordinates activities in the Transfer Center in collaboration with college and university partners. The Director of Academic Advising works collaboratively across all college division on enrollment, retention and success initiatives.

Salary/Wage Range: Starting Salary Range $75,460 - $81,812 (Management Salary Grade 16)
Salary/Compensation Statement:
  • Starting July 1st, a 3.09% COLA will be applied to Management Salary Grades. Making this position's annual starting salary range increase to $77,977 - $84,340.
  • Our package includes a generous contribution toward medical, dental and vision insurance, long term disability as well as paid sick leave and vacation time.

Required QUALIFICATIONS

Required Education:
  • Masters Degree in Education, Educational Leadership Psychology/Counseling, Teaching or closely related field from a regionally accredited institution of higher education.
  • Documented training in leadership and supervision.
Required Experience:
  • Three (3) or more years serving as an academic advisor in higher education.
  • Three (3) or more years of supervisory or management experience.
  • Demonstrated experience in budget development and management.
Licensure or Certification Requirements

Preferred QUALIFICATIONS

Preferred Education
  • PhD in Higher Education. Leadership, Student Services/Development, Community College Leadership, Psychology/Counseling, or closely related field from a regionally accredited institution of higher education.
Preferred Experience
  • Experience as an Academic Advisor in a community, junior or career technical college.
  • High-level supervisory experience with varied direct reports.
  • Knowledge of and direct experience with EAB Navigate software as a back-end user.
  • Documented training in conflict resolution, mediation or similar practices.

Position Purpose:
The Director of Advising leads and oversees the creation of articulation agreements, and works closely with both managers and staff within the following areas in the Student Affairs Division: Recruitment & Admissions, Enrollment Services, Financial Aid, Testing, Center for Accessibility Resources, TRiO/TRiO STEM, Student Engagement, and Mental Health and Wellness, among others.
Essential Functions:
Supervision and Leadership

  • Oversees and provides leadership to the advising team in a unionized workplace, including the timely hiring, training, and evaluation of advising staff
  • Coordinates the activities of the Transfer Center in collaboration with Lane's transfer partners
  • Supervises the Veterans advisor/s
  • Develops and implements advising policies, procedures, and best practices
  • Administrates EAB Navigate, the college's retention software
  • Leads the creation of articulation agreements with external partners, in collaboration with the Academic Affairs Division, as appropriate
  • Mediates and seeks appropriate solutions for interpersonal conflict and other challenges
  • Develops and initializes plans for employee growth and improvement
  • Fosters a positive and supportive work environment within the advising office

Strategic Planning and Program Development

  • Develops and implements strategic plans for the advising program aligned with the institution's goals and objectives
  • Serves as a leader in the development and implementation of the institution's Strategic Enrollment Management Plan
  • Design and coordinates academic advising programs, workshops, and initiatives to support student success and retention
  • Collaborates with other departments and stakeholders to integrate advising services into broader student support initiatives

Budget Development, Management, and Optimization

  • Prepares annual budget proposals; develops, implements, and monitors annual budgets in alignment with organizational goals and priorities
  • Conducts financial analysis and forecasting to inform budgetary decisions and resource allocation, including the preparation of quarterly reports
  • Fosters a culture of fiscal responsibility and accountability within the department through training, communication and collaborative decision-making

Data Management and Analysis

  • Oversees the collection, analysis, and interpretation of data related to advising activities, student outcomes and program effectiveness
  • Uses data-driven insights to evaluate advising practices, identify areas for improvement, and make informed decisions
  • Prepares reports and presentations on advising metrics, trends, and accomplishments

Collaboration and Cooperation

  • Works with representatives of other colleges and universities on the development and refinement of articulation agreements
  • Demonstrates a commitment to, and skills in successful cooperation and collaborations, both within the Advising Department and with other areas of the college
  • Collaborates with academic departments, other student services, faculty, and campus resources to integrate and improve advising services and support student success initiatives
  • Coordinates the representation of the advising program at campus events, meetings, and committees, advocating for the needs and interests of students and advisors
  • Serves as a key leader in the development and oversight of New Student Orientation

Professional Development and Training

  • Provides professional development opportunities and/or training for advising staff to enhance their skills, knowledge, and effectiveness
  • Stays current on trends, best practices, and regulations in academic advising and higher education, sharing relevant information with the advising team
  • Supports the professional growth and advancement of advising staff through mentorship, coaching, and career development opportunities
  • Engages in lifelong learning; personally pursues professional development, growth opportunities, and/or additional credentials to enhance one's leadership, knowledge or effectiveness

Auxiliary Duties

  • The incumbent will close out final reporting on the Title III grant, which concludes in September 2024
  • Ensure the implementation of the College's Affirmative Action and Equal Employment Opportunities concerning policies, goals, and timetables in assigned areas. Ensure staff development on diversity, inclusive climate, and respectful learning and working environment issues
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students

Physical Demands/Working Environment:
This position works indoors and is exposed to usual office working conditions that includes office noises and interruptions, such as printers, telephones, and visitors. This position requires that an employee be able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6) hours a day. Work may require transporting materials up to twenty-five (25) pounds. Work safely.
Knowledge Skills and Abilities:
Knowledge of:

  • Best practices in Academic Advising according to professional organizations like NACADA and current peer-reviewed research
  • FERPA regulations, including best practices in meeting compliance standards in various contexts
  • Requirements of: Associate of Arts Oregon Transfer (AAOT); Associate of Arts (AAT), Associate of Science (AST and AS), Oregon Transfer Module Requirements (OTM); Core Transfer Map (CTM); Associates of General Studies (ASG).
  • Oregon Labor Law

Skills and Abilities:

  • Adaptability, flexibility, and prioritization of workload
  • Technological proficiency in navigating various software, including but not limited to Google Suite, Microsoft Office Suite, and EAB Navigate
  • Supervisory techniques in a unionized workplace
  • Effective communication techniques, including de-escalation and conflict resolution
